VACANCY ANNOUNCEMENT

Applications are invited for the following vacancy at MTI Bannu under the Medical Teaching Institution (MTI) Act 2015 (amended from time to time), as per the following conditions. This is a non-clinical position.

Position Details

1. SECRETARY TO BOARD OF GOVERNORS

Remuneration: Negotiable based on qualification and experience.
Gender: Male/Female
Place of Posting: Islamabad, with regular travel to Bannu, Peshawar, and other cities as required. Travel allowance will be provided as per MTI Bannu Policy.

Job Description & Required Skills

Job Responsibilities:

  • Perform all secretarial and office functions of the Board, including but not limited to supporting the organization and scheduling of Board meetings.

  • Draft and obtain approvals for the agenda and minutes.

  • Collect and distribute working papers/presentations and maintain communication with Board members.

  • Follow up on all meeting decisions and inquiries conducted by the Board.

Required Skills:

  • Well-versed in secretarial functions and tasks.

  • Strong PR approaches and techniques.

  • Good connections in government and semi-government institutions, departments, and authorities.

  • Proven ability to coordinate and liaise with public and private sectors on behalf of the Board.

  • Proficiency in shorthand is an added advantage.

IT Skills:

  • Familiarity with computer operating systems.

  • Proficiency in MS Excel, Word, PowerPoint, Outlook, Zoom, etc.

Language Competency:

  • Excellent written and spoken skills in English, Urdu, and Pashto.

  • Strong presentation skills.

Qualification, Experience, and Age Requirements

Qualification:

  • Minimum 16 years of education from a Higher Education Commission (HEC)-recognized and well-reputed institution/university.

Experience:

  • Minimum of five (5) years of experience as a Secretary/Secretariat Practitioner or in a Secretarial and Office Management role.

  • Excellent drafting, communication, and interpersonal skills.

  • Experience as a Secretary with a Board of Governors, Board of Directors, or any company registered with a government regulatory authority or autonomous body.

  • Candidates accredited by the Institute of Corporate Secretaries of Pakistan will be preferred.

Selection Criteria

  • Shortlisting will be done based on defined criteria.

  • A written test will be conducted for shortlisted candidates.

  • The top three (or more) candidates will be invited for the final interview.

  3. Application Deadline: 04/03/2025. Late applications will not be considered.

  4. Candidates must meet all eligibility criteria, including:

    • Valid qualifications (degree/diploma).

    • Relevant post-qualification experience with official certification from the administration, Human Resources, or Establishment department of the concerned institution.

  5. The appointed candidate will be on probation for three (3) months, during which employment may be terminated without notice.

Disqualification Criteria

Applications will be disqualified if they meet any of the following conditions:

  • Incomplete applications or missing attachments (academic and experience documents).

  • Conviction by a court of law.

  • Previous dismissal from service.

  • Any attempt to influence the selection process.

  • Misbehavior during the test or interview.

  • Late submission (applications received after the deadline).

  • Forgery or falsification of documents/credentials.

  • Submission of an incomplete qualification (only degrees will be considered; marks sheets, transcripts, or course completion certificates will not be accepted).

  1. Original documents must be presented at the time of the interview.

  2. No TA/DA will be provided for the test or interview.

  3. Upon appointment, the candidate will be a full-time institutional employee and must resign from any other employment (national or foreign), including civil services.

  4. MTI Bannu reserves the right to increase/decrease the number of positions or cancel the hiring process at any stage.
